For DOS or WINDOWS place the ATTEND distribution floppy in drive A or B.
For DOS operation:
Change to the drive that has the ATTEND distribution floppy and
type INSTALL.
For WINDOWS 3.1 operation:
Select 'Program Manager', click on 'File', choose 'Run' and on the
'Command Line:' key in:
(if ATTEND floppy is in A) A:\INSTALL
(if ATTEND floppy is in B) B:\INSTALL
Follow the install instructions on the screen. To reprint this manual,
change to the directory that holds ATTEND, key in MANUAL then press the
<ENTER> key.
If the install process advises you it is necessary to re-boot your PC
and this is a WINDOWS 3.1 install, a MANUAL boot on your part WILL be
required.
For WINDOWS 95 operation:
Move mouse cursor to the lower left corner and click on "START".
Click on "Shutdown".
Click "Restart Computer in MS-DOS Mode".
Click "Yes".
Place the ATTEND distribution in either A or B and change to that
drive by keying in either A: or B: and pressing the <Enter> key.
Follow further install instructions on the screen.
To reprint this manual, change to the directory that holds ATTEND,
key in MANUAL then press the <ENTER> key.
If the install process advises you it is necessary to re-boot your PC
and this is a WINDOWS 95 install, a MANUAL boot on your part WILL be
required.
To start ATTEND change to the directory on the hard drive that contains
ATTEND and type 'attend'. The USERID will be 'admin'. If this is an
EVALUATION package, no password will be required otherwise the password will
be 'password' (in lower case). Once the 'MAIN MENU' screen is up you may
change your password by selecting 'Set Installable Options' and choosing
'Change Your Password'.
If you will be using a laser printer set 'Laser in HP mode = YES' in the
'Set Installable Option' section of the 'MAIN MENU'. This option will command
the laser to the correct pitch when printing reports and labels. The laser
MUST emulate HP mode, not be a PostScript printer.
PERSONAL DATA SECTION
(from the 'MAIN MENU' screen)
First the PERSONAL DATABASE must be built, the data required for this
will come from your congregation. ATTEND will print a form for your
congregation to complete. Highlight 'Personal Data' from the 'Main Menu'
screen and press <ENTER> (the <ESC> key will bring you back one level).
Pressing the <ALT> and <F4> key simultaneously will produce this 'Data Entry
Form', press <ALT+F4> now. The <F1> key is the HELP key, press it now to see
an example of what it holds. To exit the 'HELP SCREEN' press any key. The
'HELP SCREENS' (<F1> key) will contain specific function key information,
depending on the window that is open, generally the function keys will be:

F1 = Help
F2 = Add data to a database
F3 = Produce a report
F4 = Delete a record
F5 = Edit/Peruse a record
ESC = Exit this screen
Press <ESC> to return to the 'Main Menu'.
ATTEND will allow TITHE numbers 1 through 999999. ATTEND requires you
assign a number to each family you wish to track. If you purchase TITHE
envelopes that are pre-numbered it will make this process much easier. Also
consider allowing families to keep their assigned number from year to year to
avoid re-entering/modifying their PERSONAL DATA information each year. Once
your personal database is built, selecting 'Personal Data' then <F10> then
choosing 'Tithe Labels' will print labels in Tithe order from your personal
database that can be used to distribute the tithe envelopes to the proper
families. ATTEND supports 3 1/2" x 15/16" ONE ACROSS labels for pin fed
printers (similar to Avery 4013 labels), TWO ACROSS 1" x 4" labels (similar
to Avery 5161 labels [20 labels to a page]) for Non-Post Script laser/bubble
jet printers and THREE ACROSS 1" x 2 5/8" labels (similar to Avery 5160
labels [30 labels to a page]) for Non-Post Script laser/bubble jet printers.
If Avery 5160 labels (3 across) are used, the bar code printed will be in the
'five-digit delivery point code' format. If the Avery 5161 labels (2 across)
are used, the bar code printed will be in the 'eleven-digit delivery point
code' format. The postal service will accept the 'five-digit delivery code'
however the 'eleven-digit delivery code' is preferred. Another advantage of
using the 2-Across labels is that longer names and addresses can be printed.
With the 3-Across, labels only the first 29 characters are printed. The 3-
Across labels are NOT RECOMMENDED because on long names or addresses data
truncation may occur.
To enter data, select 'Personal Data' from the 'Main Menu' screen, and
press <ENTER> (highlight 'Personal Data' and press <ENTER>, then press <F2>
to walk through entering data). Families that attend on a regular to fairly
regular basis will probably request a contribution statement at years end.
These individuals should be assigned a number from 1 and up. You might
assign/re-assign families that leave the church or only attend several times
a year numbers from 100000 and up (however there is no requirement on the
numbers that are assigned, if the numbers are generally grouped ie. youth,
kids church, regular attenders... it will be easier for you to identify the
groups by the number range).
Visit Area can be used for families living in the same geographic areas,
Home Care Groups, Groups assigned to a particular elder/pastor. Once the
cursor is on this field, pressing <F3> will open a window of known Visit
Areas (Visit Area Directory). Cursor to the correct visit area for this
family and press <ENTER>. If this is a new visit area, key in the code you
have chosen for this area rather than pressing <F3>. The program will request
the definition of the new code once data entry for this screen is complete.
The new definition will be automatically added to the Visit Area Directory.
The Visit Area Directory will be covered later.
Track Family will be covered under attendance. This flag set to a "Y"
will display the '*' character to the right of the tithe number seen on the
'Personal Data' main menu screen.

Last Name and one or both Male name and/or Female name must be entered
to open an entry in this database. If either the Male or Female name is
blank, a 'flag' will be placed beside the remaining name, on some reports, to
indicate gender ie. (m) & (f). If Single=Y and the Male name is not blank and
the Female name is blank his name will be 'flagged', on some reports, with
(ms). When the Male name is blank and the Female is not blank, the report
will reflect (fs) beside her name. Non-blank in Male and Female assumes
Married even if Single=Y.
The salutation/nickname will be added to the family summary (an option
after pressing <F9> of Personal Data), attendance missing report (pressing
<F3> of Attendance), family report (pressing <F3> of Personal Data) and all
MailMerges. On the reports the salutations will be enclosed in bracket pairs
"[]". On MailMerges the salutation will have its own field. If the salutation
is left blank on the Personal Data Entry Screen the MailMerge salutation
field will contain that persons first name. The salutation is intended as a
less formal greeting when using the MailMerge.
Enter social security number. If the IRS requires the churches to submit
a 1099, this will be needed.
For Status (this is for Membership Statuses) use 50 through 98 for
anyone that is a member in good standing in your church and you wish to be on
the Voting Roster report (50-99 indicate to the program this person is a
member). Use 99 for a non-voting active church member. Numbers from 00
through 48 will be for anyone that is not an active church member. Status of
49 is used for deceased. Below is an example of some use for the statuses.
Status # Description
0 - No Status
46 - Inactive (doesn't attend any more and no forwarding address)
47 - Deferred (on missions trip, tdy, person expected to return)
48 - Transferred (attends another church)
49 - Deceased
50 - Active voting member in good standing
99 - Active non-voting member in good standing
As statuses are entered in this field they are checked against the
'Membership Directory'. If this is a new status another window will open
asking for the description of the new status code. The new status code along
with its description will then be added to the 'Membership Directory'.
With the cursor in either of the 'Status' fields press <F3>, this will
open the 'Membership Directory' window which displays all known membership
statuses. Cursor to the correct choice and press <ENTER> to select this
status for the current family member.
Reports can be pulled based on a particular occupation so you should be
consistent in choosing occupations ie. 'Registered Nurse' and 'RN' would be
considered two different occupations. Press <F3> when the cursor is in either
Occupation field to open a window with a list of occupations you have
previously entered (from the Occupation Directory), find the one to select
using the cursor keys or press the first letter of an occupation for fast
search then press <ENTER> to select that occupation. If the occupation you
are looking for isn't in the Occupation Directory, just key in the new
occupation. All new occupations will be automatically added to the Occupation
Directory. Press <F1> for help.
Continue with the date-of-birth and date-joined the church. Reports may

be pulled based on age. A date in 'date-joined' DOES NOT indicate to the
program this person is a church member, a status of 50 or greater (in the
status field) is REQUIRED to indicate the person IS a member.
Both address lines may be used if needed.
When ATTEND is requested to print mailing labels, they are printed if
there is a ZIP code and the 'Skip Mailout' flag is not set (the 'Override
Skip Mailout' will override the 'Skip Mailout' flag). Labels may be sorted in
ZIP code order or Last Name order (exceptions: 99+1 labels (covered in the
Attendance Section) will be printed in Tithe or Visit Area Order and Tithe #
Labels will be printed in tithe # order). If the ZIP code field is blank NO
label will be printed (exception: the Tithe Labels, printed in Tithe # Order,
will print even if there is no ZIP code).
If you use ZIP+4 the Post Office will give you a reduced rate on
postage. They also have a conversion program to convert a database to ZIP+4
for you ONCE for free. If you are interested contact the Postal Service in
your area and request 'USPS form 5603' and information on their 'conversion
program'.
Program 'KIRK1' sub-process 'POST1', found on your ATTEND distribution
disk, will convert your ATTEND database to the Postal Services format
allowing them to add the ZIP+4 code to each address. Once the Postal Service
returns the updated file to you, you will run program 'KIRK1' sub-process
'POST2' to update your ATTEND database. Program 'KIRK1' is not included with
the DEMO package.
Skip Mailout set to "Y" will not print a mailing label for this Tithe #
unless the 'Override Skip Mailout' was set to a "Y" as a choice after
pressing <F10> to print labels. This Skip Mailout is used for a family that
has more than one Tithe # and only one mailing to a household is wanted. The
'Skip Mailout' flag can also be set/reset by pressing <ALT+F1> while in the
'Personal Data' main screen and when the flag is set to "Y" the 'Φ'
character will be displayed to the right of the tithe number. This flag will
only inhibit mailing labels that are printed through the 'Personal Data
Menu'. The other sections that print labels will ignore this flag and print
a label if there is a ZIP code and all other filters are satisfied.
Pledge Window set to a 'Y' will open a window to capture pledge data.
Once the first personal date entry screen is completed (by pressing <PgDn> or
<ENTER> through the last Remarks line) the pledge entry window will open if
the 'Pledge Window' is requested. Place a 'Y' in this field now and press
<PgDn>. With the Pledge window open enter the 'Commitment Date' the pledge is
to start, this date will determine the annual pledge. Cursor to the correct
category and enter the weekly/monthly amount of the pledge. Respond with a
'W' for weekly or a 'M' for monthly. This field along with the 'Commitment
Date' will determine the annual pledge. The next field should be set to a 'Y'
if the pledge value is to continue next year. At the start of a new year a
new 'PLEDGE__' database is built and if the previous year had a 'PLEDGE__'
database that old database is searched for any field that has its continue
flag set to "Y", then places the old pledges in the new 'PLEDGE__' database,
multiplies it by 52 for a weekly pledge or 12 if the pledge is monthly to
determines the new annual pledge. The last two characters of the 'PLEDGE__'
database name is the current year you are working with. When you start ATTEND
the current 'PLEDGE__' that will be opened will be determined by the date in
your PC. If this date is 1997 the 'PLEDGE__' will be 'PLEDGE97' (just like
the 'TITHE' database, which will be covered later). The 'PLEDGE__' and the
'TITHE' databases will always be in SYNC (an open 1997 'TITHE' database will
also have an open 'PLEDGE97'). There can ONLY be one (1) 'PLEDGE__' database

open at any one time. Switching to a previous 'PLEDGE__' database is
accomplished by switching to a previous 'TITHE' database. The 'TITHE' switch
will open the corresponding 'PLEDGE__' database. The 'TITHE' database is
covered later.
The 'Pledge Window' field will NOT appear on the screen if the USERID
you are logged in as does not have TITHE READ or TITHE WRITE attributes
assigned to it. More on the USERID permissions later.
Press <ENTER> through the last field or press <PgDn> to open the
ministry window.
Pressing <PgDn> above after entering 'Y' to the 'Pledge Window' bypassed
the two lines of remarks that are available for this family. Information may
be placed in the remarks and flagged NOT TO PRINT on the personal family
reports (produced while in the 'Personal Data Entry Section' and pressing
<F3>) or the attendance exception report by placing, on the remarks line that
is NOT to be printed, place the character * in the FIRST position of the
line. ie An unlisted phone number, the pastors home number... Press <ENTER>
through the last line of 'Remarks:' or <PgDn> to open the pledge window (if
selected) or it will go directly to the ministry window.
If you press <ESC> while in the 'Personal Data Entry Screen' you ABORT
the 'Personal Data Entry Screen' and NONE of the information added/changed
will be saved. The <ESC> key is used to abort any updates/changes to the open
window (except the children's window) and return you to the previous level.
Up to eleven different ministries may be entered for each name listed.
Pressing <F3> while this window is open will pull-down a list of all
previously entered ministries and its operation is the same as described
above in the Visit Ares, Status and the Occupation fields. The CAP flag
(completed a Child Abuse Prevention class/seminar) is also on this screen.
The CAP flag is covered later in the 'Ministry Directory'. The TYPE field
will accept a two digits character code to indicate the type/classification
of CAP on file. The CAP flag MUST be set to a 'Y' or the 'type code' will be
cleared to two blanks. Examples:
TYPE: DESCRIPTION:
- No Type Code (CAP flag = 'N')
10 - Application Pending
20 - CAP Seminar Completed
AA - Application Approved
ZZ - Application Rejected
Enter any code you choose and if the code is unique (not already in the
TYPE Database) a sub window will open (once this ministry window is closed)
allowing you to enter english verbiage for the code. This verbiage will
update the TYPE Database. Pressing <F3> while in the type field will open a
pull-down window listing the entries in the TYPE Database. Highlight a choice
and press <ENTER> to select that type. Pressing <ESC> with the pull-down
window open will not select the highlighted type code and return to the
'Ministry' screen.
<F1> is for help. <PgDn> will exit and save any input in this window
bringing you to the children's window.
If this family has children, record their information next. If you
reached this screen by initially pressing <F2> (add) while in the 'Personal
Data' screen just key in the child's name; however if while in the 'Personal
Data' screen <F5> (edit) was pressed, to add a child now you must press <F2>
to add a child while in the view mode. The Boy/Girl field is for the gender

'flag' on certain reports. If the child's surname is different from the
parents, use this field to record the child's surname. Press <PgDn> to exit
and save the children's window. If you are in the process of entering a child
the <ESC> key will abort that entry. If the child's information has been
completely entered (you have passed the different last name field), pressing
<ESC> will simply exit the children's window. To remove a child's name,
return to the children's window, cursor to the target child and press <F4>.
There is room for 99 children. Use <F1> for help. Press <F5> to EDIT the
highlighted child.
ATTEND now returns to the 'data entry' screen and ready to add another
family to the database. The tithe number has incremented to the next
available number. A few of the fields are not cleared in the eventuality they
will be the same for the next family. If new information is to be entered for
the telephone area code or city & state, the field will clear once a
character is entered in position one of the field.
Press <ESC> to exit the 'data entry' screen. Then press <F1> (for the
'help screen') to see a list of the function keys and their usage during this
'Personal Data Entry' window. This 'help screen' must be cleared before any
function key will work, press any key to clear the 'help screen' then press
the desired function key or just press the desired function key twice to
clear the 'help screen' and execute the task.
You can page through the database in tithe number order or
alphabetically by using the <F6> key. Press <F6> now to see the index order
change. Pressing <F6> again will toggle back to the previous index order. If
the sequence is in tithe order you can fast seek to a specific tithe number
by pressing <F7> and entering the number or if in alphabetical order press
<F7> and entering the first 1 to 4 letters of their surname then using the
cursor keys to locate the correct person. When in alphabetical order pressing
a letter will fast seek to the first family whose surname starts with that
character (this search is case sensitive),then with the cursor keys locate
the correct family.
<F3> To print a report on the highlighted family. Once selected another
window will open asking "Visit Area order". If this order is selected a
second window will open requesting the Visit Area range. A third window will
then open allowing you to omit certain fields of the family report. Then the
family report will be produced for all families in the Visit Area range.
<F4> Will delete all records associated with the highlighted family. A
confirmation will be required prior to deletion. Once deleted the record is
gone for good.
<F5> Allows you to view/edit the highlighted family. This key may be the
most used feature of the 'Personal Data Screen'. The <F5> key will allow you
to view the family personal data record and/or to make any needed changed.
<F8> Enter comment, visitation/followup information, on the highlighted
family. Twelve lines are available for comments. This information is printed
on the missing exception report from the 'Attendance Section'.
<F9> Pulls various listings from the NAMES & ADDRESS databases.
Telephone directories, Zip Code Rosters, a report by Visit Area and more. If
their tithe # is wanted on the report set "Roster WITH tithe # listed" = Y.
Press <F9> now then press <F1> to see the 'help screen' for this window.
Press any key to clear the 'help screen'.
CAP Roster - List of individuals with their CAP flag (from the ministry
screen) set 'Y'. See more on the CAP flag in the ministry database section
under 'Membership-Ministry-Visit-CAP Type'.
Area Roster will print a list of families that have been assigned a
'Visit Area' in Visit Area groups. If the Visit Area for your church happens

to be a 'Home Care Area' and you want a list of Home Care 16 through 22 this
is the field you would set to 'Y' to produce that report. Other types of
reports are available through the 'Membership-Ministry-Visit-CAP Type'
section of the 'MAIN MENU' and is covered later.
Pledge Roster, If your USERID has Read or Write permissions to the
'TITHE' database you may pull reports based on recorded pledge information by
setting the Pledge Roster to a 'Y'. The Pledge dollar amount for the selected
category will also be listed if in the 'Installable Option' section the
"Y.T.D. On Reports" is set to a 'Y' (see Installable Options Section).
Birthday Roster is for birthday list, you will enter the starting and
ending age and if the list is to be just for one month you will specify the
month.
Zip Code Roster will list each family by ZIP code order. A window will
open asking for the ZIP code range.
Zip Code Summary will list each ZIP code and the number of families in
that ZIP code area. This report will also indicate how many families in the
ZIP code area have their 'Skip Mailout' flag set to 'Y'.
Membership Roster will list each person that has a status from 50
through 99.
Skip Mailout Roster will list each family that has their 'Skip Mailout'
set to a 'Y'.
Family Summary Report will list each family and some of their personal
data that you have entered. This report will be in alphabetical or numerical
order, see <F6> above.
Voting (Sign In Sheets) will list members (anyone with a status of 50
through 98) to be used during church business meetings.
Church Directory (Telephone & Address List) will be produced in the
order as determined by <F6> (tithe number or alphabetical order).
Gender Filter, option to check only the male or the female on the
personal data record. A window will open requesting either a 'M' or 'F' to
indicate which gender to test. Another window will ask if this is a "Special
Gender" request. The "Special Gender" will further filter the report to only
include the selected gender if the selected gender has NO spouse. Either
there is no spouse listed in the 'Personal Data Section' or the spouse has a
status of 49 (deceased). When this flag is set the children are not checked.
This option is not valid when Report Types: Area Roster, Zip Code Summary,
Family Summary and Voting (Sign In Sheets) are selected.
Include Address2, if one exist, will also print the second address line
on the report.
Double Space Report, option to double space the report.
Inhibit Gender Flag, option if set "Y" will not print the gender and
single flag [(m), (ms), (f) or (fs)] after their names.
Indicate 'Skip Mailout' this is an option that will print on the 'Family
Summary Report' a flag to indicate the 'Skip Mailout' is set to Y for the
family being listed.
Roster WITH Tithe # listed, This option set to Y will list to the left
of the family name their tithe number. If this option is set to N there
will be to the left of each family the three characters *** indicating no
tithe number requested and to delimit the family group (if 'double space' is
selected the *** will not be printed).
Use Salutation If Available, This option set to Y will list any
nicknames that is available, in place of the first name and spouse name, on
the Church Directory Report.
The following selections are mutually exclusive therefore only one may
be set to Y at any one time. The following 'choices' are listed in their
priority order (1 being the highest priority):
1 - Pledge Roster

2 - Birthday Range
3 - Zip Code Summary
4 - Church Directory
5 - Area Roster
6 - Voting (Sign-in Sheets)
7 - Membership Roster
8 - Zip Code Roster
9 - Family Summary Roster
10 - Skip Mailout Roster
11 - CAP Roster
Example: If Zip Code Summary (which has a priority of 3) and Area Roster
(which has a priority of 5) are both set to a Y the Zip Code Summary will
be chosen and will set the Area Roster to a N.
The 'Gender Filter', 'Include Address2', 'Double Space Report', 'Inhibit
Gender Flag', 'Indicate Skip Mailout', 'Roster WITH Tithe # Listed', and the
'Use Salutations' are options and any, none or all may be set to Y on the
above 'listing choices' for format control.
Once the choices are made other windows will open asking for special
filters or formats. These filters will cause the report to list only those
families that match your special requirements ie only list status of 50
through 55, only list tithe numbers 234 through 4567, start with last name
beginning with R , and ZIP code of 23606 through 23700. You may choose to set
one, all or any combination of filters for the reports produced by <F9>.
Press <ESC> to return to the 'Personal Data Screen'.
<F10> window for mailmerge and labels:
CAP - Mailmerge/Labels on individuals with their CAP flag say 'Y'. See
the ministry section of 'Membership-Ministry-Visit-CAP Type' that covers the
CAP flag.
Area will produce labels/Mailmerges in Visit Area Order. Another window
will open asking for the visit area or the visit area range you want.
Pledge, If your USERID has READ or WRITE permissions to the 'TITHE'
database then labels or mailmerges may be selected for those categories.
Birthday Filter, This filter is by age and can be selected by month
also.
99+1 Labels will produce the labels that are needed to match the
exception reports generated in the attendance section for the missing people.
This is covered in the 'Attendance Section'. Mailmerge is not an option for
this choice.
Tithe Labels will produce labels in tithe order with the tithe number
printed on the label. This can be used to place on the tithing envelope boxes
for distribution. This would be the only reason to assign numbers starting at
a specific number. Anyone who is not a regular attender may be assigned a
number outside of the range of envelopes you purchased. Mailmerge is not an
option for this choice.
General Label is any other Label Report Type not listed above. This is
the default type when no other type is selected.
Mailmerge (as opposed to producing labels), Option used to produce a
Mail Merge file to pass to WordStar or WordPerfect (revision 5.1 and up)
based on the above choices. If you are using Microsoft Word create the Mail
Merge file using ATTEND in WordPerfect 5.1 format. Start Microsoft Word and
open the merge file prepared by ATTEND, Microsoft Word will detect the file
is in WordPerfect format and convert it for you.

Count Only, option to display only the totals that would be printed.
Tithe # Range, This option will filter output by the range you select.
Status Filter, This option allows you to filter by a membership status
range.
Gender Filter, This will open a second window requesting you enter a M
for male or F for female. Once the scan starts it will only check the male or
female name of the personal data record. When this flag is set, testing of
the children will not take place.
Last Name Order, Labels will be printed (if this tithe # has a zip code
and if the skip mailout flag is not set [the skip mailout override will
override the skip mailout flag]) in Last Name order with their last name
printed first then their first name(s). This option is inhibited when the
99+1 or the Tithe # Labels are selected. This option is also valid for
mailmerge. The mailmerge fields will appear the same with this option
selected or not selected, however if this option is selected field 3 (last
name) of the mailmerge will be sorted in last name order.
Phone # on Label set to a 'Y' will add the home phone number (if one
exist) to the bottom of their label.
Override 'Skip Mailout' is an option that will produce output even if
the 'Skip Mailout' is set.
The following label/mailmerge choices are mutually exclusive therefore
only one may be set to a Y at any one time. The following 'choices' are
listed in their priority order (1 being the highest priority):
1 - Aro
2 - Pledge
3 - Birthday Filter
4 - Tithe Labels
5 - 99+1 Labels
6 - Visit Area
7 - CAP Labels
Example: If 'Birthday Filter' and 'Tithe Labels' are both set to a Y
the 'Birthday Filter' will override the 'Tithe Label' choice.
The other choices are options and any combination may be set to Y with
the exception of mailmerge option when either 99+1 Labels or Tithe Labels are
selected.
Press <ESC> to return to the 'Personal Data Screen'.
<Alt+F1> Will toggle (OFF to ON to OFF) the 'Skip Mailout Flag'.
<Alt+F2> Locate by social security number.
<Alt+F3> Will toggle the 'Track Family Flag'.
<Alt+F4> To print the 'Data Entry Form'. Have your congregation fill
this out for building your database.
<Alt+F5> Will change the Telephone Area Code. ATTEND will prompt for the
target Area Code and the new Area Code.
ATTENDANCE SECTION
(from the 'MAIN MENU' screen)
Press <ESC> until you are on the ATTEND 'Main Menu'. Then select
'ATTENDANCE' from the 'Main Menu'. Press <F1> to view the help screen. This
section will record attendance for up to nine different services per week.
<F2> will add attendance for individual persons to the database. Family
member #1 will always refer to the male and family member #2 will always

refer to the female member of the family. If either male or female names are
blank that family unit # will not be used. The first child will always be #3
and continue up from there. After pressing <F2> to add a record to the
attendance database you may press <F2> again to display a list of family
surnames. This list will be in alphabetical order, to quickly locate a family
surname press the first letter of their last name then with the cursor keys
page to the desired name. Once the surname is highlighted you may press
<ENTER> to choose that name OR if you press <F2> once again another window
will open with a list of all the family members of the highlighted surname.
Cursor to the desired family member and press <ENTER> to enter that persons
name in the attendance database. The windows are primed with data and if
correct just press <ENTER> to accept.
<F3> Will produce the 'Missing Persons' exception report. The report can
be in Tithe or Visit Area order. The program default attendance window is set
to 3 weeks and will produce an exception report after any TRACKED FAMILY
member (if the Track Family = Y from the Personal Data screen) is missing for
3 weeks, 6 weeks or 9 weeks (the 3 week default attendance window may be
changed by selecting 'Installable Options' from the ATTEND 'Main Menu' and
choosing 'Attendance Window', see the section on 'INSTALLABLE OPTIONS' that
is to follow). After 9 weeks you may consider setting their Track Family = N
or an exception report will appear every three weeks (<ALT+F3> will toggle
the TRACK FAMILY while in the PERSONAL DATA screen). Setting the Track Family
= N will place an '*' to the right of their tithe number on the first screen
of PERSONAL DATA.
As reports are being printed the program will set a flag so labels can
be printed for the missing families. The labels should be printed immediately
after the exception reports print (printing the label will reset this flag).
To print these labels press <F10> or select 'Personal Data' from the 'Main
Menu' and press <F10>. Select only 99+1 Labels (see Matthew 18:12).
The attendance window default may be changed by selecting 'Installable
Options' from the 'Main Menu' then entering a new window. Generally the
attendance data is not required after several months and can be removed by
selecting 'Perform Database Maintenance' from the 'Main Menu' and choosing
'Delete Old Attendance Records' (you may want to 'Count Attendance' prior to
releasing the attendance history by pressing <F8> within the 'Attendance'
selection). Deleting Old Attendance Records will flag any records that are
365 days old and over for deletion. This process will run for several minutes
depending on the amount of data and the speed of your PC (your hard drive
light will flash occasionally to indicate the program is working so DO NOT
boot your PC during this process). Children of the family units are checked.
<F4> Will delete the highlighted record.
<F5> Is to add ALL members of a family to the attendance database as in
attendance. This is the easiest approach to take in regards to attendance as
long as the error factor is understood.
<F6> Will open the personal data window of the highlighted family.
<F7> Will speed search to a specific tithe number. A sub-window is
opened requesting the target number.
<F8> Will count attendance and produce a report. Children of the family
units are checked.
<F9> Will produce a report by service and date attended. Children of the
family units are NOT checked.
<F10> Will produce the labels that correspond to the 'Missing Persons'
exception reports that were printed. The labels will be printed in Tithe or
Visit Area Order (see <F3> above).
<Alt+F1> Will produce a MailMerge file of persons attending a particular
service within a certain date range. Children of the family units are NOT
checked.
<Alt+F2> Will produce labels of persons attending a particular service

within a certain tithe # range, date range and zip code range. A sub-option
will also allow printing of their phone number on the bottom of the label.
Children of the family units are NOT checked.
<Alt+F3> Same as <F3> above except the exception reports are not
printed. This will be used to flag the families as missing so the <F10> will
print the labels (<F3> or <Alt+F3> MUST be selected first if label are
wanted).
<Alt+F4> Attendance plotting with tithe #, zip code, date range and
status filtering. Their address and phone number may be optionally printed.
The children of the family unit are checked UNLESS the status filtering is
enabled by having the starting # greater that 0 (zero) or the ending # less
than 99 (children do not carry a status number and it can not be assume the
parents # will be the same as their children). If a child needs to have a
status number they must have their own tithe #.
<Alt+F5> Same as F3 except the exception report is a one line summary
for each person that comes up missing.
CONTRIBUTIONS/TITHE SECTION
(from the 'MAIN MENU' section)
Press <ESC> until you are on the ATTEND 'Main Menu'. If your USERID has
READ or WRITE permissions to this database you may open it by selecting
'Tithe and Offering' and pressing <ENTER> (see 'Security Matrix' in the
'Installable Options' section covering setting the permissions). The
program's database is set to track nine different contribution categories. If
'orientation' in the 'Installable Options' section is set to 'portrait' the
printed statements will list the first four categories in their own column
plus column five will be a total of categories five through nine. If
'orientation' in the 'Installable Options' section is set to 'landscape' all
nine categories will be listed in their respective columns and the report
will be landscaped. The names for these categories must be set by you.
Some of the reports produced will list the number that has been assigned
to the family. By default this number is called "TITHE" and may be changed to
any six or less characters in the following steps. You may want "DONOR",
"LEDGER" or "GIVING" .... . To assign names to the categories select, from
the 'Main Menu', 'Set Installable Options' and choose 'Set Tithe Categories'.
The screen you see is the same screen used to record contributions. The
following is an example you may wish to follow:
Category 1 = Tithe
Category 2 = Missions
Category 3 = Benevol (for benevolence, only 10 char are allowed)
Category 4 = Building
Category 5 = Musical
Category 6 = Children
Category 7 = Special 1
Category 8 = Radio
Category 9 = Special 2
The name selection is ONLY to identify the columns. If you set
category#1 = Tithe and Category#4 = Building and later decide to swap the
two names only the names will move the data you entered earlier for
Tithe(category#1) will still be in the same column, however the column will
now reflect the new name. Select a name for the nine categories now.
From the 'Main Menu' select 'Tithe & Offering', press <F2> and enter
several entries for several of the families you entered during the Personal
Data phase. If the input for a category is over $250.00 the program will beep

and open a window indicating some field was over this threshold. This is only
for your information, if the data is correct enter 'Y' to accept or 'N' to
allow you to reenter the record. After the "Tithe" number is entered that
family's name and address will be displayed for address verification.
<F3> will print the statements for all or only one tithe #. The report
is designed to fold and fit a #10 windowed envelope (unless the orientation
in the 'Installable Options' is set to landscape). 'Membership Status' is
checked and if set to 49 (Deceased) that name will not be printed on the
statement UNLESS both have a status of 49 or there is only one name and that
name has a status of 49, in which case that name or names will be printed.
The following arguments will allow you to control the statements to print.
Grand Total All Entries will tally all entries in the database and give
a printout. The speed of your PC and the number of entries in the MASTER__
database determine the run time.
Check Number on report - If the check number was captured during the
input phase (<F2> key) the check number will appear on the detail report if
this field is set to 'Y'.
The Summary Report will give a one page, bottom line report. The default
is detail reporting.
Beginning/Through Numbers - If the beginning and through number is the
same an additional 'TO THE SCREEN' option becomes available.
From/Through Date is to allow date filtering. There are two printing
options available with this selection:
1) Will print a report of contributions that are within the
selected date range only.
2) If a contribution is within the selected date range, that
persons entire contribution will be printed.
Report in Zip Code Order - The default statement printing is Tithe
number order. Selecting Zip Code Order will also allow for Zip Code
Filtering. If there is NO ZIP CODE recorded in the PERSONAL DATA section for
a family, NO statement will be produced for that family when this option is
selected.
Report Sync Errors - The NAMES, ADDRESS and the open MASTER__ databases
are used during statement printing. If the MASTER__ database has an entry for
a TITHE # and the corresponding TITHE # is missing in either the NAMES or
ADDRESS database, a one page report will be printed for your information.
This option is usually not necessary if the 'Broken Chain Repair' (ZFIX)
runs okay. The SYNC error is to indicate the CONTRIBUTION database has a
Tithe number that is NOT in the NAMES or ADDRESS database. You should not
enter contribution data for a tithe # that has no address or name. The
'Broken Chain Repair' (ZFIX) will test for and fix a problem like this (see
the 'Database Maintenance Section' which is covered later in this manual).
Append a Family Report - This will append, to each individual statement,
a one page family report for address/data verification. When this option is
selected another window will open asking if the Ministries should be omitted
or included in the print out.
Include All Categories - Should there be an occasion where one or more
of the nine categories be a non-tax deductible charity contribution item

(banquet, trip, books .... ) you may exclude that category from the
statements or totals by selecting 'N'. A second window will open allowing you
to indicate which categories to include on the statements.
<F2> Is to enter a contribution record into the open MASTER__ database.
<F3> To produce the statements (as above).
<F4> Will delete the highlighted record.
<F5> Allows you to view/edit the highlighted record.
<F6> Will open the personal data screen for the highlighted record.
<F7> To fast search for a particular tithe #. A window will open
requesting the target number.
<F8> Send a MailMerge to a file of all people who have contributed to a
specific category.
<F9> Print labels for all people who have contributed to a specific
category. A sub-menu will allow further filtering by tithe # and date ranges.
Their phone number may also be printed on the bottom of the labels.
<F10> To open a different years MASTER__ (covered in the following
section on 'Beginning a new year and the tithe database').
<Alt+F1> This function will change a tithe number in the open MASTER__.
All records associated with the tithe number entered will be assigned the new
tithe number. Windows will open requesting the tithe number to change and the
target number, a confirmation is also requested.
<Alt+F2> Will produce a usage report for each tithe number by months.
The 'Amounts On Report' option will give the Year-To-Date contribution totals
for that Tithe number. This option will only function if the Administrator
sets the 'Y.T.D. on Usage Report' to a YES in the 'Installable Options
Section'.
<Alt+F3> To print a list of all persons that have contributed to a
specific category.
<Alt+F4> If the 'Y.T.D. on Usage Report' option is set to a YES in the
'Installable Options Section' this choice will produce a roster by Tithe # or
Name of the total Year-To-date contributions recorded.
<Alt+F5> Stewardship Roster/Labels. This feature will scan the
contribution database and produce a list, labels or mailmerge based on the
following filters: Tithe # range, Date range, Member/Non-member/Either, All
or partial contribution categories, Number of events or less than a number of
events (An event is one record in the contribution database, and that record
may have any or all of the nine category with a value). If labels are
selected their phone number may also be printed on the bottom of their
labels.
BEGINNING A NEW YEAR AND THE CONTRIBUTION DATABASE
When ATTEND is started some of the files that are opened are the NAMES,
ADDRESS and the CONTRIBUTION databases. The CONTRIBUTION database is actually
named "MASTER__" with the last two character positions (__) being the current
year (which is provided by the PC clock). If the "MASTER__" database doesn't
exist one is created (if the USERID that started this session of ATTEND has
(W)rite permissions to the TITHE database).
ATTEND can only open one "MASTER__" database at any one time. If the
"MASTER__" database that is open is not the one you wish to update, select
'TITHE & OFFERINGS' from the 'MAIN MENU' and press <F10> to open a different
CONTRIBUTION database.
During January when entering data for the previous year, verify you have
the correct "MASTER__" database open (the CONTRIBUTION and the "PLEDGE__"
databases are the only two databases that is sensitive to the year). During
this period and until the statements have been printed and the previous year

has been closed, special attention must be paid when changing a family's
tithe number.
When a family's tithe number is changed (in the 'PERSONAL DATA' section
and pressing <F5> and entering a new number for their tithe #) all open
databases will automatically be changed. Because only one "MASTER__" can be
open at any one time, that open "MASTER__" is the only CONTRIBUTION database
that has it's tithe number changed. If you wait until the old year is
complete and closed to effect tithe # changes, there will be no problem. You
may also add new families to either "MASTER__" without any problems. If you
change family "A's" tithe number in the old "MASTER__" and have not entered
any contribution data for family "A" into the new "MASTER__", this too causes
no problem. If it becomes necessary to change a families tithe number after
you have entered data into the new "MASTER__" for that family, open the old
"MASTER__" by pressing <F10> while in the 'TITHE & OFFERING' menu and then
select the correct "MASTER__", this "MASTER__" will remain open until <F10>
is pressed to select a different "MASTER__" or you quit ATTEND and restart it
again. Exit the 'TITHE & OFFERING' menu and select the 'PERSONAL DATA' from
the 'MAIN MENU', change that family tithe number by pressing <F5> and keying
in the new tithe # in the tithe # field, press <PgDn> until the update passes
through all the sub-screens of the <F5> key. Press <ESC> to exit the
'PERSONAL DATA' section and to open the 'MAIN MENU' screen. Select the 'TITHE
& OFFERING' section and open the new "MASTER__" (by pressing <F10>), then
press <ALT+F1>, this will allow you to move all entries from one tithe number
to another number. The <ALT+F1> will only make changes to the open
"MASTER__".
Once you have closed the previous year it is now time to archive the
databases for your records. Save to a formatted floppy (because some of the
databases may be larger than a 360KB diskette you may require a 1.2MB or
1.44MB floppy). There is no need to save the index files (all files that end
with the extent ".NTX", these files will be built when ATTEND starts, if they
do not exist). Save the database files (files that have an extent of ".DBF").
Save file ATTEND.CFG (the ATTEND config file). Save file ATTEND.EXE (the
ATTEND program).
The following procedure is recommended to archive your ATTEND database.
Make a NEW directory on your PC with the last two characters of the directory
name being the previous year, copy all files to the NEW directory. If it
becomes necessary to refer back to the this old ATTEND database this may aid
in keeping it separate from the active year.
Scenario: The date is May 1997 and you wish to close the 1996
ATTEND year. Your active ATTEND database is in directory C:\ATTEND and it
contains the contributions from year 1996 and 1997. At the DOS C:\> prompt
key in the following commands and press the <ENTER> key.
Step: DOS Command: Action:
1) CD \ Change to the ROOT directory.
2) MD ATTEND96 Create the NEW directory.
3) CD \ATTEND96 Make ATTEND96 your current directory.
4) COPY \ATTEND\*.* *.* Copy files from C:\ATTEND to ATTEND96.
5) DEL *.NTX Delete the INDEX files in ATTEND96.
Now use your backup program to complete the process (see Disk
maintenance in this manual).
Should it become necessary sometime in the future to refer back to this
old year you could copy the files from the archive disk to a 'DIFFERENT
DIRECTORY' (or a 'DIFFERENT PC', if the FILES statement in its CONFIG.SYS
file is set to FILES=60 or greater) then start ATTEND there. If the old year
was 1996 and the above steps were completed then using the directory of
ATTEND96 would be a good choice. The index files will be rebuilt, once the

system is up you will only need to open the old "MASTER__" as described above
(F10 to select a different MASTER). DO NOT COPY THE OLD FILES OVER YOUR
CURRENT SYSTEM, this will ruin your day! You may consider backing up your
current system prior to the reload of an old database (see disk management).
If you use the DOS command 'BACKUP/RESTORE' you must be advised of its
constraints (you may only restore to the same directory the backup was
performed on).
OCCUPATION DATABASE
(From the 'MAIN MENU' screen)
This is a directory of all the known occupations ATTEND has. The
directory is developed three ways. The most common way is each time a new
family is added to the 'Personal Database' and an occupation is given the
program will check the 'Occupation Directory' for that occupation, if the
occupation is a new one it is added to this directory. The second way to add
to the directory is by selecting 'OCCUPATION' from the 'MAIN MENU' and
pressing <F2> to add a new name. Program 'OCCUPATE' is the third way to
update the 'Occupation Database' and it is covered later. One way an
occupation can be deleted from the 'Occupation Directory' is by selecting
'OCCUPATION' from the 'MAIN MENU', highlighting the target occupation then
pressing <F4> (A second way is with program 'OCCUPATE'). If family ABC has an
occupation of XYZ and they are the only family in your database that has an
occupation of XYZ and you delete family ABC the occupation STILL remains in
the 'Occupation Directory'.
Go to the ATTEND 'MAIN MENU', highlight 'OCCUPATION' then press <ENTER>.
Now press <F1> to display its 'help screen'. Once a 'help screen' is open you
must press some key to clear the screen.
<F2> Will add occupations to the 'Occupation Directory'.
<F3> Will print a list of all the people that have match the highlighted
occupation.
<F4> Is to delete the occupation from the 'Occupation Directory'. If in
the case above with family ABC. If their occupation is XYZ and you delete the
occupation of XYZ from the 'Occupation Directory' it WILL NOT change the
occupation field in ABC's personal data record. If there is a spelling error
in family ABC's occupation, the same spelling will be in the 'Occupation
Database', Correcting the spelling in the 'Occupation Database' WILL NOT
correct the spelling in the personal data record of family ABC. Correct the
spelling in both the 'Personal Data Record' and the 'Occupation Directory'.
<F5> Will allow you to EDIT the highlighted entry. When this field is
changed the 'Occupation Directory' is the only field that is changed. The
occupation in the 'Personal Database' is NOT changed.
<F6> Will list all entries in the 'Occupation Directory'.
<F7> Is to produce a list from a partial name. ie after pressing <F7>
you then enter the search name. If you enter TEACH you will trigger on any
occupation that has TEACH as part of their occupation.
<F8> To produce a MailMerge of people with the highlighted occupation.
<F9> Is the same as <F7> except for labels.
<F10> Will print labels of all people with the highlighted occupation.
Tithe number range filtering is allowed. Their phone number may also be
printed on the bottom of their labels.
For a fast search of the 'Occupation Database' press the first letter of
the occupation name.
The 'Occupation Database' can be rebuilt from scratch by running program
'OCCUPATE' (for access to program 'OCCUPATE' run program 'KIRK1' found on the
ATTEND distribution disk). OCCUPATE will release the current 'Occupation
Database' and rebuild it from the occupations recorded in each families

'Personal Database'. To run 'OCCUPATE', place the ATTEND distribution disk in
floppy drive A or B. At the DOS prompt change to your ATTEND directory (e.g.
if ATTEND is on the 'C' drive and in directory '\ATTEND' then key in CD
\ATTEND and press the <ENTER> key). Now key in A:KIRK1 or B:KIRK1 and
press the <ENTER> key. Then choose 'O' for OCCUPATE at the prompt.
A backup prior to making any major changes is always a good idea, see
the section on 'Disk Maintenance'.
MEMBERSHIP-MINISTRY-VISIT-CAP Type
(From the 'MAIN MENU' screen)
From the 'MAIN MENU' highlight 'Membership-Ministry-Visit-CAP Type' and press
<ENTER>. This will open a second window, highlight 'Membership' and press
<ENTER>. With the 'Member Status Designations' (Status Directory) window open
press <F1> to show the 'help screen'.
<F2> Will add a status code and description to the 'Status Directory'.
There are two ways to add statuses and descriptions to this directory.
1) A new status code entered in the status field of the 'personal
data screen'. This new entry will open a sub-window and request
a description for this new status. The description will then be
added to the 'Status Directory'.
2) The use of <F2> to add a new record.
<F3> Will print a listing of all the people with the highlighted status.
<F4> Will delete the highlighted status from the 'Status Directory'.
Deleting from the 'Status Directory' WILL NOT delete or change the status
field on any family 'Personal Data'.
<F5> Will allow you to EDIT the description field if it is highlighted.
<F6> Is to print the contents of the 'Status Directory'.
<F8> Will send to a MailMerge file any person that matches the
highlighted status.
<F9> Will print labels of any person that matches the highlighted
status.
<F10> Will change a status number in the 'Personal Data Database'. The
original and the new target status number must be known to the 'Membership
Status Database' (if the Status is not known use the <F2> key to add it).
Both male and female records are checked, if their first name is not blank
and if their status number is a match with the selected target status, that
original status number will be changed to the new target number.
The 'Description' field is used for the number to English translation
and correcting a spelling error here WILL correct any error that is printed
on the 'Family Reports' or 'Missing Persons' report.
Press <ESC> until the ATTEND 'MAIN MENU' is seen. Highlight the
'Membership-Ministry-Visit-CAP Type' and press <ENTER>. Cursor to 'Ministry'
and press <ENTER>. The 'Ministry Directory' is a directory of all the known
ministries entered via the 'ministry screen' in the 'Personal Data Section'
and any ministries entered on the 'Ministry Directory' screen using the <F2>
key. Correcting spelling or deleting entries from the 'Ministry Directory'
will NOT change any entry on the 'Ministry Screen' of the 'Personal Data
Section'. To change an entry on the 'Ministry Screen' of the 'Personal Data
Section' you must be in that section. Press <F1> now to view the 'help
screen'.
<F2> Is used to enter data into the 'Ministry Directory'. Data is also
entered into the 'Ministry Directory' by entering new data on the 'Ministry
Screen' of the 'Personal Data Section' that is different from any data
already in the 'Ministry Directory'. Each time data is entered in the
'Ministry Screen' the 'Ministry Directory' is checked and if it is a new

ministry the new ministry name is added to the 'Ministry Directory'.
<F3> Will print a list of all the people that have the highlighted or
multiple tagged (see <F5> below) ministry.
<F4> Is to delete the highlighted ministry in the 'Ministry Directory'
only. No changes will take place in any of the 'Ministry Screens' of the
'Personal Data Section'.
<F5> The first window opened after <F5> is pressed asked about the
status of the CAP flag. The CAP flag is for Child Abuse Prevention. New
church insurance regulations are requiring the church to have on file an
application (for each person that works with children) indicating that person
has attended a Child Abuse Prevention seminar. The CAP flag will be used to
indicate if a person in a ministry has attended the required seminar or not.
Reports may be selected in one of three options: Output persons in a
selected ministry with CAP, without CAP or don't check CAP.
The 'P' field on the 'Ministry Directory' is used to tag multiple
ministries and once tagged (pressing <F5> will place a √ in the P field
beside the highlighted ministry then the highlighted bar will cursor down to
the next ministry) the function keys <F3>, <F8> or <F10> will produce a
listing/labels/MailMerge of any person that has any of the tagged ministries.
Once <F5> is pressed the 'Ministry Directory' is shifted into multiple mode
and another window is opened to instruct you. If a ministry is tagged (by
pressing <F5> while the ministry is highlighted) in error, cursor back to the
ministry in error and press the <F5> key again and the √ will turn off.
Once in the multiple mode only the function keys <F3>, <F5>, <F8>, <F10> or
<ESC> will work.
<F6> Is to print the 'Ministry Directory'.
<F7> Will allow for a partial search key. If TEA is entered any
ministry with TEA anywhere in the ministry name will trigger and be listed.
<F8> Will send to a MailMerge file any person with the highlighted or
multiple tagged ministry.
<F9> Same as <F7> except for labels.
<F10> Will print labels for any person that has the highlighted or
multiple tagged ministry. Filtering by zip code and tithe # ranges is
allowed. Their phone number may also be printed on the labels.
<Alt+F1> The <Alt> and the <F1> keys pressed simultaneously will set a
birthday filter and any ministry that has been triggered to print/MailMerge,
must also pass the birthday filter.
For a fast search to find a ministry press the first letter of the
ministry or use <PgUp> / <PgDn> and the cursor keys.
Press <ESC> until the ATTEND 'MAIN MENU' is seen. Highlight the
'Membership-Ministry-Visit-CAP Type' and press <ENTER>. Cursor down to the
'Visit Directory' and press <ENTER>. A directory of all known Visit Area
numbers along with its definition will display in a window. Press <F1> to see
the 'Help Screen' associated with this directory. Press any key to clear the
'Help Screen'.
<F2> Will add a record to the Visit Area Directory. The code is
requested then its definition.
<F3> Will print a report of all the people with the highlighted visit
area.
<F4> To delete the highlighted visit area from the 'Visit Area
Directory'. No changes will be made to any family that has a visit area of
the same code.
<F5> This function key will allow you to 'tag' multiple visit areas to
produce reports. Once <F5> is pressed another window will open with further
instructions and requests.
<F6> To print the 'Visit Area Directory'.
<F8> Will send a MailMerge to a mailmerge file. Field 6 of the mailmerge

will contain the name of the visit area they belong to. ie: If this family
name was John Smith and they are a member of visit area #123 and visit area
#123 (according to the visit area directory) was assigned to John Jones, then
field 6 of the mailmerge record for John Smith would contain John Jones.
<F10> Print mailing labels of all persons with the highlighted Visit
Area. Filtering by tithe # and zip code ranges are allowed. Their phone
number may also be printed on each label.
Press <ESC> until the ATTEND 'MAIN MENU' is seen. Highlight the
'Membership-Ministry-Visit-CAP Type' and press <ENTER>. Cursor down to the
'Type Directory' and press <ENTER>. A directory of all known CAP flag types
numbers along with their definition will display in a window. Press <F1> to
see the 'Help Screen' associated with this directory. Press any key to
clear the 'Help Screen'.
CAP is used to indicate the person has completed a Child Abuse
Prevention class and/or has an application on file stating they are aware
of the program. The Type Directory is to indicate what kind of application
is on file for this person and who authorized this person to work with
children.
Some insurance regulations now require churches to have a Child Abuse
Program in place or pay a higher rate.
It has been determined that once the word is out, that an organization
will not tolerate any abuse of children and that a police check of anyone
working with children will be conducted, will deter individuals with
intentions of abusing children from staying around.
<F4> To delete the highlighted type from the 'Type Directory'. No
changes will be made to any family that has a Type of the same code.
<F5> This function key will allow you to edit the highlighted
description field.
<F6> To print the 'Type Directory'.
INSTALLABLE OPTION SECTION
(From the 'MAIN MENU' screen)
Security Matrix:
The Administrator (USERID = ADMIN) establishes authorized users of
this program with their attributes. Select this option and press <F1> for the
'Help Screen'. Access to the major databases by different userid are
controlled here. By assigning (W)rite permissions for a user to a particular
database also implies (R)ead. To delete a record a user must have (W)rite
permissions. Assigning (W)rite permissions to a user on the ADDRESS database
will allow that user to delete any record seen on the 'Personal Data Screen'.
When a 'Personal Data Record' (names and addressed) is deleted that TITHE
number is also deleted from the ATTENDANCE, TITHE & OFFERINGS and MEMBERS
databases even if only (R)ead or (*) no permissions has been given to that
user. With the deletion of a TITHE number from the Names & Addressed there is
no need to maintain an entries in any other database for that TITHE #.
Assigning (*) no permissions to a user for a particular database will prevent
that user from opening that database window.
Password Change:
Any user may change their password providing the current password
is known.
Program Colors:
Nice place to spend an hour or two. If you get into trouble select
default colors and start over.

Color Patterns:
Left in from software development.
Contribution Categories:
This will change the contribution column headings. Be advised it
only changes the column names, data is unchanged. Categories should be set
prior to entering data and if change is necessary, change with caution, it is
best to PLAN AHEAD. This is where you can rename all references to 'TITHE' to
some other name ie. LEDGER, DONOR.. any name up to 6 characters may be used.
Test Printer Pitch Control:
ATTEND must be able to command the printer to change between 12 and
either 15 or 17/18 pitch. Some on the newer printers that are 'Windows ONLY'
have been cost reduced by moving the printer control from the printer
hardware to a software driver in Windows. ATTEND is a DOS program and doesn't
have access to the Windows drivers. The 'default' printer selected will be
dot matrix in Epson MODE. The three choices of printers will be: 1) Epson
MODE dot matrix, 2) Epson MODE laser/bubble/ink jet, 3) HP MODE
laser/bubble/ink jet. If there is one inch between the two vertical bars (|)
on the test output your printer is okay and is compatible with ATTEND.
SSN # on Reports:
This will inhibit/allow any reference to the Social Security Number
on any printed report. Normally this is not a problem, however the option is
included for your use. Per the IRS, the SSN# is not required on the
contributions statements.
Insert Key:
If YES, show the status of the insert key during data input. If the
insert is on you will see on the top right of the screen 'Ins'.
Ministry/Children Option:
Either being OFF will skip that screen within the PERSONAL DATA.
Epson Mode Bubble Jet:
Set to a 'YES' to indicate the printer is a bubble jet printer
emulating EPSON mode. This option set to "YES" will over-ride the 'default'
dot matrix printer. Test the printer by selecting the 'Test Printer Pitch
Control' above.
Epson T-O-P Margin:
This value is set to give Epson Mode printers a 3 line top-of-page
margin. Adjust this value if sheet feed labels are not targeted at the top
correctly.
Laser/Bubble/Ink Jet in HP mode:
If you are using a Laser/BJ and it is in HP mode (not PostScript)
you should set this option to YES. During printing there will be an
additional prompt and if the response is "Y" the Laser/BJ will be set to the
correct pitch. Do not respond with a "Y" for any other than a 'Laser/BJ
Printer in HP mode'. This option set to "YES" will over-ride the 'default'
dot matrix printer. Test the printer by selecting the 'Test Printer Pitch
Control' above.
Orientation:
Portrait is the default. Landscape may be chosen if the Laser
printer is in HP mode. Do not attempt to send landscape to any other type of

printer (the results are un-specified and may require you to exit ATTEND,
clear the printer by powering it off then back on and starting ATTEND again).
The orientation will revert back to portrait when ATTEND ends.
Attendance Window:
This is the threshold in weeks prior to triggering an exception for
missing persons. The default is set to 3 weeks. A report will be produced
when a person has been missing for this number of weeks. Reports will
continue to be produced every 3 weeks until the person returns or their
"Track Family" is set to N. The threshold can be set to any number of weeks
you choose. If changed the Default will change to Special.
Append an IRS caveat:
See IRS publication 1771. Any single contribution of $250.00 or
more must be acknowledged by the charity, in writing, to the donor stating
what part, if any, of a gift to the charity is in payment for a service
received by the donor (meals, books, tapes, furniture ....) or the deduction
may be disallowed by the IRS. If this option is set to 'YES', ATTEND will
print a statement on the detail contribution report to satisfy the IRS
requirement. All contributions entered in the 'Tithe & Offering' should be
for 'Intangible Religious Benefits' only. If non-tax deductible contributions
are recorded in the 'Tithe & Offering' database, see option 'include all
categories' after pressing <F3> on the 'Tithe & Offering Main Menu'.
Active IRS caveat:
The 'default' caveat wording is derived from the IRS publication
1771 to indicate the 'key' wording we understand the IRS desires. Because
this wording sounds a bit cold, the userid of 'ADMIN' may change the three
lines to a 'custom' caveat. Each line may be a maximum of 88 characters. The
'default' caveat will LEFT justify lines 1 and 2 and CENTER justify line 3
prior to printing. On the 'custom' caveat, lines 1, 2 and 3, may be either
LEFT or CENTER justified prior to printing. Selecting this option will allow
you to change from a 'custom' caveat to a new 'custom' caveat or re-select
the 'default' caveat.
Y.T.D. on Usage Report:
This option set to a YES by the Administrator, will enable an
option, on the two Usage Reports in the Tithe & Contributions Section, to
print the Year-To-Date totals recorded.
Skip Mailout Character:
Once the 'Skip Mailout' is set to a 'Y' the character 'Φ' is placed
just to the left of their name on the 'Personal Data' screen and on the
printed reports. Some printers do not print the 'Φ' (ASCII 232) character
instead they print a slanted 'h'. This option will allow you to choose a
different character to indicate the 'Skip Mailout' is set for this family.
You may choose the hyphen '-' or any character your printer will print.
Changing the 'Skip Mailout' character will only effect the printer, the 'Φ'
will still display on the screen as a flag to indicate to you the 'Skip
Mailout' is set for this family. To return to the default 'Φ' character press
<Esc> for the 'Skip Mailout' flag and save the changes.
Show Database Size:
Set to a 'YES' will place the number of physical records in the
open database on the bottom of the window. When you delete a record it
remains in your database as a physical record until the database is 'packed'.
Because of this you may notice the number of physical records do not decrease
as you delete records (see following section 'Database Maintenance' on

packing your databases). The number of physical records are read once each
time the sub-section is opened and the number is not updated as new records
are entered. Leaving the sub-section and returning to the sub-section is the
only way this count is updated.
Pledge Window Default:
After pressing <F2> or <F5> in the 'Personal Data Section' this
flag is checked and if the login 'Userid' has Read or Write permissions to
the Tithe Database the 'Pledge Window:' will use this default.
THE PASSWORD DATABASE
This database will hold all USERIDS along with their PASSWORDS. Should
the password to a USERID (other than ADMIN) become lost, start ATTEND using
the USERID of 'ADMIN', select 'INSTALLABLE OPTIONS' and choose 'SECURITY
MATRIX'. Delete (press <F4>) the USERID that has the lost password, reenter
the USERID with the desired attributes. The newly added USERID will have a
password with the same name as the USERID except in lower case. This will be
true for any newly added USERID. The user could select from the 'INSTALLABLE
OPTIONS' the 'CHANGE PASSWORD', if a different password is desired. Should
USERID 'ADMIN' forget the password you must delete two files in ATTEND's
directory. Using the DOS commands 'DEL' to delete PASSWD.DBF and PASSWD.NTX.
Restart ATTEND with USERID of 'ADMIN' and the default password of 'password'
(in lower case). Because the password database (PASSWD.DBF) was released ALL
of your USERID's along with their attributes must be reentered. Releasing
just the password index will not erase USERID or attributes.
DATABASE MAINTENANCE
Delete Old Attendance Records:
Delete any attendance record over 365 days old. This will flag any
attendance record over 365 days old for deletion (see 'pack database' below).
Pack Database:
When <F4> key is used to delete a record, the record remains in the
database occupying space yet flagged never to be seen again. To remove this
dead wood the database must be packed. The auto pack is the easiest method.
The 'Pack Database' should be run every so often to free up disk space.
Broken Chain Repair (ZFIX):
If power is lost or a PC hardware problem that forces you to do a
hard boot while running ATTEND, the ATTEND indexes may develop a broken
pointer. The symptom is obvious. Tithe numbers assigned to the wrong family,
can't get the 'PERSONAL DATA' screen in numerical or alphabetical order ...
the list could go on and on. To avoid a serious problem, once power is
restored:
1) Run the DOS command 'CHKDSK /F' and convert any lost clusters to
files. If any one of the 17 ATTEND DATABASE files, see 'list of ATTEND
files', is included in the lost clusters or truncated files you are ADVISED
to restore from the most resent save and re-enter any lost data. If one of
the INDEX files (a file with an extent of .NTX) is listed the next step will
correct this problem and a restore will probably not be required.
2) Run the 'Broken Chain Repair' (ZFIX) in SIMULATE mode. If there is an
error indicated by SIMULATE you must re-run the 'Broken Chain Repair' with

SIMULATE = N to actually repair the problem. A SIMULATE run will release and
re-build all of the indexes. Normally this is enough to effect repair. Always
run SIMULATE = Y first. Having a directory listing with tithe numbers during
this process is helpful. The SIMULATE run will produce a report of any
records in trouble and what will be done to repair the problem. Review the
report prior to running ZFIX with SIMULATE = N.
ZFIX will check each family for a ZIP code and when found will then test
it for the ZIP+4 code. A count is kept of the missing ZIP+4 and if the 'list
option' is selected a report is printed. This list may be lengthy and it is
recommended you run ZFIX once first with 'list = N'.
ZFIX will only check one MASTER__ and its associated PLEDGE__ database.
The MASTER__ / PLEDGE__ database that ZFIX will opened and test is dependent
solely by the date of the PC's clock (selecting a different MASTER__ by using
<F10> in the Tithe & Offering section WILL NOT cause ZFIX to test that
database, see reason stated below). To check a MASTER__ / PLEDGE__ that has
a date other than the current PC's date you MUST change the PC's clock, using
the DOS 'DATE' command.
ZFIX will cause the current session of ATTEND to end and require you to
restart ATTEND. When ATTEND is restarted the second time the MASTER__
database that will be opened is the one that is linked to the date of the PC
clock and that is the MASTER__ / PLEDGE__ database ZFIX will check. It is
probably easier to change the PC date after ZFIX forces ATTEND to end your
current session and prior to starting ATTEND the second time.
If the date is changed, exit ATTEND after ZFIX completes and change the
PC clock to the correct date.
MAILMERGE & ATTEND
Mailmerge - A method of combining information that changes with
information that does not change.
The variable information may be names & addresses, birthdays or dollar
amounts.
Wordstar and WordPerfect (5.1 and up) formats are supported by ATTEND.
If you are using Microsoft Word and have installed their 'Converter'
program for WordPerfect, any MailMerge produced by ATTEND in WordPerfect 5.1
will automatically import into Microsoft when it opens the ATTEND MailMerge
file. This file may then be saved (in Microsoft Word and various other word
processor format), changed or used by Microsoft Word to complete the
MailMerge.
WordPerfect 5.1 will be detailed here for our example:
The PERSONAL DATA section of ATTEND will produce two (2) types of
mailmerge files. ATTENDANCE, TITHE & OFFERING, OCCUPATION, MEMBERSHIP and
MINISTRY will produce one (1) mailmerge type each.
For our example we will use the TITHE & OFFERINGS mailmerge type to send
thank you letters to each person in our database that has contributed to a
category names 'YOUTHTRIP' during MAY, JUNE and JULY.
The following assumptions are:
1) ATTEND is on drive C and in directory ATTEND.

2) All contributions designated for the youth trip have been
posted in a category named "YOUTHTRIP".
1) Start ATTEND.
2) Select the TITHE & OFFERING and press <F8>.
3) Category 'YOUTHTRIP' is selected and 'enter' is pressed.
4) The TITHE range will be 1 through 300000 for our example.
5) Because we only want MAY through JULY donations (it is possible the
database also contains entries for an earlier youth trip) we now
enter "050194" (MMDDYY) for the start and "073194" for the end
date.
6) We choose 'YOUTH2' as the name of this mailmerge file, type YOUTH2
now and press <ENTER>. This named file will used by WordPerfect
later and WordPerfect will refer to it as 'SECONDARY FILE'.
7) Cursor down to WordPerfect 5.1 and press <ENTER>. You will see an
open window indicating records being selected and copied to file
YOUTH2.TXT. The extent 'TXT' was added by ATTEND, because we did
not choose one. Once the process is completed press any key to
continue or press <F1> for a printed list of the MailMerge FIELDS.
8) At this point the mailmerge file 'YOUTH2' is done. We could now
put labels in the printer and press <F9> to print mailing labels
for the same category.
9) Exit ATTEND and start WordPerfect 5.1.
10) Prior to typing your form letter we must review the mailmerge file
'YOUTH2.TXT' to identify the FIELDS that were produced by ATTEND.
11) Press <F5> to open the directory of WordPerfect. Because
'YOUTH2.TXT' was placed in C:\ATTEND we type C:\ATTEND and press
<ENTER>.
12) Cursor to YOUTH2.TXT and press 1 to retrieve the file.
13) You will see the 8 FIELDS generated by the mailmerge process of
ATTEND followed by the END RECORD mark (============).
14) Because we allowed TITHE & OFFERING to produce this mailmerge file
the FIELDS are as followed (mailmerges by the other sections of
ATTEND will produce different FIELDS that contain different data,
this is the reason step 10 must be done):
FIELD # 1 = their TITHE #
FIELD # 2 = first name
FIELD # 3 = salutation (if this field was left blank on the
Personal Data Screen then it will
now contain the persons first name)
FIELD # 4 = last name
FIELD # 5 = address1
FIELD # 6 = address2
FIELD # 7 = city, state zip

FIELD # 8 = the total amount this person gave to the selected
category.
The FIELDS of the other records will follow the same pattern.
15) Press <F7>, DO NOT save the document, DO NOT exit WordPerfect.
16) Now type your letter:
Put your return address in the upper right then cursor down to
where their name will go (If windowed envelopes are to be used you
will need to do same experimenting to determine how many lines to
skip). Their first name was found in FIELD # 2. Position the cursor
where their name will go then press <SHIFT+F9> then press 1 to select
FIELD, then press 2 for the field, now press <ENTER>. Notice FIELD#2
now appears where their first name will be. Position the cursor at the
start of where their last name is to be placed then press <SHIFT+F9>
then 1 then 4 for FIELD #4 and <ENTER>. FIELD#4 now appears. Position
the cursor for the start of their address. Press <SHIFT+F9> then 1
then 5 then <ENTER> to select the address1. Press <SHIFT+F9> then 1
then 6 then <ENTER> to select the address2. Press <ENTER> and position
the cursor to the start of their city, state and zip. Press <SHIFT+F9>
then 1 then 7 then <ENTER> to select the city, state and zip. Now
press <ENTER> twice and start the salutation 'DEAR '. Now go for
their name (at this point you may want to use the salutation field for
a more personal greeting). Press <SHIFT+F9> 1, 3 then <ENTER>. Press
<ENTER> and start the body of the letter. Type 'Thank you for your
contribution of $' if you want to put the amount, after the dollar
sign press <SHIFT+F9) 1 then 8 then <ENTER> continue with the letter
'for our youth trip'. Once the letter is finished save it as
YOUTH2.LTR, or any other name except the name you chose for your
mailmerge from ATTEND. This name will be used by WordPerfect in its
merge process and referred to as the 'PRIMARY FILE'.
17) Press <CONTROL+F9> to do the merge, select 1 for merge, type
YOUTH2.LTR for the PRIMARY FILE and press <ENTER>. For the
SECONDARY FILE see step #1, type C:\ATTEND\YOUTH2.TXT
This is the same mailmerge file ATTEND generated.
18) The merge is complete and you now see the last page of your
mailmerge document. Note the lower right the page #. If 22 people
contributed to YOUTHTRIP the document will have 22 letters in it
now. Page up to see each page. Press <F10> to save this document
(name the document something other than the names chosen for the
PRIMARY and the SECONDARY files) we choose YOUTH2.ALL. Prepare the
printer and press <SHIFT+F7> then 1 to print all letters.
19) Th-Th-That's all folks.......
Special MailMerge Processing
If you can expect one or more of the secondary mailmerge file
fields to occasionally be blank (probably ADDRESS2) and you do not want blank
fields printed on the final document, the WordPerfect mailmerge command "IF
NOT BLANK" may be used in your primary mailmerge file to test a field. If the
field is blank, printing of the blank field may be inhibited.

The scenario is:
Printing, using a secondary mailmerge file that was created by
ATTEND, that contains the following fields:
FIELD#1 = (First_Name)
FIELD#2 = (Salutation)
FIELD#3 = (Last_Name)
FIELD#4 = (Address1)
FIELD#5 = (Address2)
FIELD#6 = (City, State Zip)
Position in the primary mailmerge file the commands to produce the
following output:
First_Name Last_Name
Address1
Address2 (if not blank otherwise put City, State Zip here)
City, State Zip
Field#2 (salutation) will not be used in this example, although it could
be used.
FIELD#1 through FIELD#4 are entered normally as described earlier,
however NO SPACE or CARRIAGE RETURN is placed after FIELD#4 (Address1). Prior
to positioning FIELD#5 (Address2) the 'IF NOT BLANK' command is used to test
FIELD#5. If FIELD#5 is NOT BLANK any statements between the 'IF NOT BLANK'
and the 'END IF' command will be executed (In our example FIELD#5 will be the
only command to execute).
After FIELD#4 (Address1) is positioned press <SHIFT+F9>, key in 6 for
'MORE', cursor down to '{IF NOT BLANK}field~' and press <ENTER>, then key in
5 (which is the field # we are to test) and press <ENTER>. Then position the
cursor to where FIELD#5 will go when FIELD#5 is not blank (in our example
just press <ENTER>). Press <SHIFT+F9>, key in 1 for field and press 5 for
FIELD#5 and press <ENTER>.
The 'IF NOT BLANK' statement MUST now be closed. Press <SHIFT+F9>, press
6 for 'MORE', cursor to '{END IF}' and press <ENTER>. Position cursor to the
start of FIELD#6 (in our example just press <ENTER>). Press <SHIFT+F9>, press
1 for field, key in 6 and press <ENTER>. Continue normal preparation of
the primary mailmerge file as described earlier.
For our example the primary mailmerge file should look like:

The character '~' that follows the field # is called a tilde and is
inserted by WordPerfect as part of the 'FIELD' command. If this character is
missing WordPerfect will not produce the desired output.
DOS ENVIRONMENT VARIABLES

When ATTEND starts it looks in your DOS Environment for two environment
variables and if present it uses them for a default response for the USERID
and the path for your mailmerge file. If the USERID environment is set to
"ADMIN" the USERID prompt would be pre-loaded to "ADMIN" each time ATTEND is
started and all that would be required at that time would be to press the
<ENTER> key. If "ADMIN" wasn't the desired USERID just key in the correct
USERID (If the first keystroke is a non-cursor key it will clear the pre-
loaded response). The savings in keystrokes for this option may not be
significant however for a mailmerge it may be.
The other environment variable is a default path when running a
mailmerge. If a default path for the mailmerge was "C:\WP51\DOC\ATTEND1.TXT"
and a second mailmerge was run and you wished the file to be found in
"C:\WP51\DOC\ATTEND2.TXT" at the prompt just cursor to the "1" of ATTEND1 and
key in the number 2 to make it "C:\WP51\DOC\ATTEND2.TXT". If the first
keystroke is a non-cursor key it will clear the field allowing you to enter
any path required.
To enable the DOS environment variables place in your AUTOEXEC.BAT file:
SET ATTENDUSER=xxxx xxxx being the default USERID
SET ATTENDMERGE=yyyy yyyy being the FULL PATH for mailmerge
DISK MAINTENANCE
When your hard drive reaches 90% full you must seriously consider and
make plans to increase your space or remove un-used programs from your PC.
Backup your hard drive on a regular basis. Central Point Software has a
very good backup system either from their PC-TOOLS or their Central Point
BACKUP will work well. You may use the DOS command 'BACKUP' to backup your
entire hard disk or just one file. Below will be the command necessary to
backup all files in directory "ATTEND" on drive "D" to floppy drive "B":
MS-DOS 6.x and above has a menu backup program so these examples may not
to you apply. Refer to your DOS manual for the menu driven program in this
case.

BACKUP D:\ATTEND\*.* B:
To restore all files on floppy drive "A:", that was produced from the
above backup, to hard drive "C:" directory "ATTEND1" (depending on your
operating system's release, the restore may only restore to the SAME
directory the backup was performed on) input the following:
CD \
RESTORE A: C:\ATTEND1\*.*
If you backup each week have two backup sets, one RED and one BLUE,
using the RED one week and the BLUE the next week so your oldest backup will
never be more than two weeks old. After about six months replace the used
floppies with a new freshly formatted disk.
Use the DOS check disk command 'CHKDSK /F' often to verify no DOS LOST
CLUSTERS exist. If chkdsk finds a lost cluster allow it to convert the lost
cluster to a file (refer back to the 'Broken Chain Repair' (ZFIX) in the
'Database Maintenance' section).
